Who Is Responsible for Your Information

Information We Collect
Information you give us. When you submit a rental or service request, or otherwise contact us through the Site, we may collect:
- Identity and contact information — name, date of birth, mailing address, telephone number, email address, and preferred language;
- Driver information — driver's license number, state of issue, expiration date, and images of your driver's license;
- Vehicle information — year, make, model, VIN, license plate, mileage, and condition;
- Insurance and claim information — carrier name, policy number, claim number, adjuster contact, date of loss, and coverage information;
- Accident information — date, location, description of the incident, police report information, and photographs of vehicle damage;
- Documents you upload — including any document you attach to a request; and
- Correspondence — the content of emails, messages, and forms you send us.
Information collected automatically. When you visit the Site, our servers and any analytics tools we use may collect your IP address, browser type, device type and operating system, referring page, the pages you view, the time and date of your visit, and similar technical information. See Section 41.
Information from others. With your authorization or where otherwise permitted by law, we may receive information about you from an insurance carrier or adjuster, a towing provider, a repair facility, a body shop, a law enforcement agency or public record, or a person you authorize to act for you.
Payment Information
Payment card information submitted in connection with a transaction is processed by a third-party payment processor. Veloce does not store full payment card numbers. The processor handles that information under its own privacy policy and applicable payment card security standards.
Information We Do Not Collect
Medical records. We do not request medical records, medical bills, or health information through the Site. Please do not upload them. If you send them anyway, we may delete them without review.
Biometric identifiers. We do not collect, capture, or use biometric identifiers as that term is defined in Tex. Bus. & Com. Code § 503.001 — we do not perform facial recognition, facial geometry scanning, fingerprint capture, voiceprint analysis, or any similar identification technique. A photograph of a driver's license is retained as an image record only; it is not processed to identify you biometrically.
Children's information. We do not knowingly collect information from children. See Section 47.
How We Use Information
We use the information described above to:
- review rental eligibility and qualify a request;
- respond to your inquiry and communicate with you about your request;
- prepare, administer, and close a rental or service file;
- coordinate vehicle-related documents and communications at your direction;
- schedule delivery, pickup, towing, or repair;
- invoice, collect payment, and bill an authorized third party;
- maintain accounting, tax, and business records;
- protect our vehicles, our property, our customers, and our personnel;
- detect, investigate, and prevent fraud and misuse;
- establish, exercise, or defend legal claims;
- comply with legal, tax, regulatory, and law enforcement obligations; and
- operate, secure, maintain, and improve the Site and our services.
We do not use your information for any purpose that is not reasonably necessary to, or compatible with, the purposes listed above, unless we obtain your consent.
How We Share Information
We share personal information only as described here:
- Service providers that support our business — including rental and fleet management software, IT and hosting, document storage, payment processing, accounting, and communications — under contracts that limit their use of the information to providing services to us;
- Vehicle, towing, repair, and delivery providers involved in a service you requested;
- Insurance carriers, adjusters, and claim contacts, where you direct or authorize the communication or where necessary to bill our own charges under a direct-billing arrangement;
- Professional advisers — our attorneys, accountants, and auditors — under duties of confidentiality;
- Government agencies, courts, and law enforcement, where required by law, subpoena, or legal process, or where reasonably necessary to protect legal rights or safety;
- A successor entity, in connection with a merger, acquisition, financing, or sale of assets, subject to this policy; and
- Anyone else you direct us to share with, on your instruction.
We Do Not Sell Your Personal Data
Veloce does not sell personal data, and does not share personal data for cross-context behavioral or targeted advertising. Veloce does not sell, and does not accept payment for, referrals to any body shop, repair facility, attorney, medical provider, or other referral source.
Veloce does not sell sensitive personal data, and does not sell biometric data. If this ever changes, we will obtain your consent first and will update this policy with the disclosures Texas law requires.
Driver's License and Insurance Information
Driver's license images and insurance information are collected because they are necessary to verify identity and driving eligibility, to administer a rental or related vehicle service, to prevent fraud, and to maintain records we are required to keep.
Access to this information is limited to personnel and service providers who need it for the requested service, legal compliance, fraud prevention, or recordkeeping. We maintain administrative, technical, and physical safeguards for records containing sensitive personal information, and we destroy such records when they are no longer needed by shredding, erasing, or otherwise making the information unreadable or undecipherable, consistent with Tex. Bus. & Com. Code ch. 521.
Cookies, Analytics, and Similar Technologies
The Site sets no cookies and uses no analytics, advertising, session-replay, chat, or cross-site tracking technology of any kind. The only third party the Site communicates with is an error-reporting service, which receives a technical description of a failure on our server — the page requested, the error, and the technical details of the request that produced it — so that we can correct it. Our web server keeps ordinary server logs — IP address, browser type, the page requested, and the time — for security and to keep the Site working, and we retain them for 90 days. Because nothing is set and nothing is tracked, there is nothing to consent to and no cookie banner is shown. If we ever add a cookie or an analytics tool, we will change this section before it is used, and Sections 39 and 42 with it.
Do Not Track and Universal Opt-Out Signals
Because we do not conduct targeted advertising and do not sell personal data, there is nothing for a Global Privacy Control or similar browser signal to opt you out of. We nonetheless honor recognized universal opt-out signals as they apply to any processing we conduct.
Your Texas Privacy Rights
If you are a Texas resident, you have the right to:
- Confirm whether we are processing your personal data, and access that data;
- Correct inaccuracies in your personal data, taking into account its nature and our purpose for processing it;
- Delete personal data you provided or that we obtained about you;
- Obtain a copy of your personal data in a portable, readily usable format, where processing is carried out by automated means; and
- Opt out of the processing of your personal data for targeted advertising, for sale, or for profiling in furtherance of decisions producing legal or similarly significant effects. As stated in Section 39, we do not engage in these activities.
How to submit a request
Send your request to info@veloceautogroup.com, or call (713) 949-8080, or write to us at the address in Section 52. You do not need to create an account to make a request. You may use an authorized agent; we may ask for proof of that authority.
Verification
We will take reasonable steps to verify your identity before acting on a request, using information we already hold. If we cannot verify you, we will tell you and explain why.
Our response
We will respond within 45 days of receiving a request. Where reasonably necessary, we may extend that period once by an additional 45 days and will tell you the reason for the extension within the original 45 days. There is no charge for the first two requests in any twelve-month period. We may decline a request that is manifestly unfounded, excessive, or repetitive, and will explain why.
If we decline — your right to appeal
If we refuse to act on your request, you may appeal within a reasonable period. Send your appeal to m.khallaf@veloceautogroup.com or to the address in Section 52, marked "Privacy Appeal." We will respond in writing within 60 days, explaining the reasons for our decision. If we deny the appeal, we will provide you with a method to contact the Texas Attorney General to submit a complaint. You may submit a complaint at texasattorneygeneral.gov.
Limits
Some records cannot be deleted or altered because of an active rental or transaction, an accounting or tax requirement, a legal obligation, a pending dispute, a litigation hold, or the rights of another person. We will tell you when that is the case and identify the reason.
Residents of Other States
Veloce operates in Texas. If you reside in a state with its own consumer privacy law and you believe it applies to you, contact us at info@veloceautogroup.com and we will consider your request under that law.
Retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy. Our retention periods are:
- Rental and service files (agreements, invoices, condition reports) — 7 years after the file closes — Business records, limitations periods, disputes
- Driver's license images — 4 years after the rental closes — Verification and fraud prevention; destroyed when no longer needed
- Accounting and tax records — At least 4 years — Texas and federal tax recordkeeping
- Website inquiries that do not become a transaction — 24 months — Follow-up and fraud prevention
- Website server logs — 90 days — Security and Site improvement
- Records under a legal hold — Until the hold is lifted — Preservation obligation
Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, and destruction. These include access controls limiting information to personnel who need it, secured storage of paper and electronic records, and contractual security obligations on our service providers.
No website, network, transmission method, or storage system is completely secure, and we cannot guarantee absolute security. If a breach of system security involving your sensitive personal information occurs, we will notify you as required by Tex. Bus. & Com. Code § 521.053 and any other applicable law.
Children
The Site is intended for adults seeking vehicle-related services and is not directed to children. We do not knowingly collect personal information from anyone under 18, and we do not knowingly collect personal information from a child under 13 without verifiable parental consent. If you believe a child has provided us information, contact info@veloceautogroup.com and we will delete it.
Third-Party Websites
The Site may link to websites we do not control. This policy does not apply to those sites. Review their privacy policies before providing information to them.
Employment and Business Contacts
This policy covers information collected from consumers through the Site. Information about job applicants, employees, contractors, and business contacts acting in a commercial or employment capacity is handled separately and is not covered here.
Changes to This Policy
We may update this policy as the Site, our services, or legal requirements change. The current version and its effective date are always posted here. If a change materially affects how we use information we already hold about you, we will provide notice before the change takes effect. Prior versions are available on request.
